1. Reservations & Payment

A valid credit card is required to guarantee your reservation. Your card will be verified at the time of booking, and the full cost of your stay will be charged at check-in. We accept all major credit cards (Visa, MasterCard, American Express, Discover, Diners Club, JCB), and Apple Pay is supported on compatible devices. We do not accept cash.

Your room rate is subject to the Vermont Rooms Tax (9%) and the Town of Stowe local option tax (1%). Two property fees also apply and are included in your quoted total at booking: a Resort Fee of 10% of the room rate per night, which covers the indoor and outdoor pools, hot tub and sauna, gym, high-speed fiber WiFi, on-site parking, and the grounds; and a Destination Fee of $3.50 per room, per stay, plus tax.

Guests must be 21 years of age or older to book a room and check in, and must present a valid government-issued photo ID and the credit card used at booking.

2. Cancellation Policy

For check-in dates of May 15 through October 15 we require a minimum of 10 days’ notice to cancel without penalty.

For check-in dates of October 16 through May 14 we require a minimum of 3 days’ notice to cancel without penalty.

For any reservation cancellation, we must receive the minimum notice as stipulated above prior to your confirmed arrival date. Cancellations made with the required notice are subject to a $25 cancellation fee only.

If any cancellation is requested after the required notice period, regardless of the reason, the full cost of your reservation will be charged to the card on file (though you are always welcome to send a friend or family member in your place).

Rates identified as non-refundable at the time of booking cannot be cancelled or changed, and are charged in full at the time of booking.

Reservations that do not arrive and have not been cancelled will be charged the full cost of the reservation to the card on file. Rooms are held until check-out time the morning after your scheduled arrival. If you expect to arrive late, please contact the hotel in advance.

3. Date Changes & Shortened Stays

Requests to change reservation dates, including shortening a stay, must be made at least 72 hours prior to your confirmed arrival and are subject to availability and minimum-stay requirements. Within 72 hours of arrival, no changes may be made to a reservation. After check-in, shortened stays remain charged in full based on the original reservation.

4. Group Reservations

For group bookings of four or more rooms, please contact us at groups@whiterainbow.com. Group cancellations must be received at least 30 days prior to your confirmed arrival date; group cancellations received within 30 days of arrival, regardless of reason, will be charged in full. For room blocks and gatherings, including the rooftop deck, contact us and we will work with you on dates and details.

5. Check-In & Check-Out

Check-in begins at 4:00 PM. Check-out is 11:00 AM. Early check-in may be available upon request but is not guaranteed. Late check-out until 1:00 PM is available for a $35 fee, subject to availability. We are happy to store your luggage before check-in or after check-out.

6. Occupancy & Children

Every room has a maximum guest limit, stated at the time of booking, which may not be exceeded. Children 12 and under stay free in existing bedding and are not counted toward the room’s adult occupancy. Cribs are not available.

7. Pets & Service Animals

The Grey Fox is pet-friendly, and pets are welcome in every room type for a non-refundable fee of $35 per pet, per night, with a maximum of two pets per room. Pets may not be left unattended in guest rooms, must be leashed in outdoor common areas, and are not permitted on beds or furniture, or in indoor public areas including the lobby, dining areas, and pool areas. Additional charges apply for cleaning beyond normal housekeeping or for pet-related damage. Please see our full Pet & Service Animal Policy for details.

Service animals are permitted throughout the property in accordance with the ADA and are exempt from pet fees. Guests remain responsible for any damage caused by a service animal.

8. Pool, Hot Tub & Sauna

The indoor pool, hot tub, and sauna are open year-round, and the outdoor pool and patio are open Memorial Day through Labor Day. Both pools are open 9:00 AM to 9:00 PM daily. There is no lifeguard on duty, and guests swim at their own risk. Children must be accompanied by an adult at all times in the pool, hot tub, and sauna areas.

9. Smoking

The Grey Fox is 100% smoke-free. Smoking of any kind — including cigarettes, cigars, e-cigarettes, vaping, and cannabis — and the burning of candles or incense is prohibited in guest rooms and all indoor areas. A $750 recovery fee will be charged to the card on file for any violation.

10. Quiet Hours

Quiet hours are observed from 11:00 PM to 7:00 AM. We ask all guests to be considerate of others during these hours. Guests who repeatedly disturb others may be asked to leave without refund.

11. Damage & Guest Responsibility

Guests are financially responsible for damage to hotel property and for missing items, which will be charged to the card on file at replacement or repair cost. Rooms are inspected after check-out.

12. Housekeeping

To minimize disruption during your stay, rooms are not serviced daily. Fresh towels, linens, and amenities are available at any time upon request, and housekeeping service is available on request.

13. Firearms

Any guest or visitor who is in possession of a firearm on hotel premises is personally responsible for abiding by all applicable federal, state, and local laws with respect to firearms. Subject to the following restrictions, guests of the hotel who are lawfully permitted to possess a firearm may bring such firearm onto hotel premises, provided that the presence of the firearm on hotel premises: is for storage purposes only; the firearm is and remains at all times unloaded; the firearm is and remains secured in a locked, hard-sided firearm container, provided by the guest, while transported to or from the guest room and while stored therein; and the firearm remains securely safeguarded at all times in a locked guest room or locked personal vehicle, except when transporting the firearm to or from a guest room.

Guests who fail to abide by this policy may be asked to leave the hotel premises, without refund. The hotel premises are private property, and our firearms policy applies to: (i) all firearms, regardless of whether the firearm is a handgun or a long-barreled gun; and (ii) all guests and visitors, even those possessing a valid license or permit to carry a firearm.

The only exception to the restrictions described in this firearms policy statement is for law enforcement officers and designated military personnel, who are on-duty and required to carry firearms in the performance of their duties.

14. Parking

Complimentary on-site parking is available for all guests, with room for larger vehicles at the back of the property. The hotel is not responsible for vehicles or their contents while parked on the property.

15. Guest Privacy

Only registered guests are permitted in guest rooms and guest-only areas. Visitors of registered guests are welcome in common areas during daytime hours. The hotel reserves the right to refuse service or remove any person who endangers the safety or comfort of guests or staff.
